[What you will be working on]
- Assist in end-to-end planning and implementing of various admissions and enrolment exercises, including preparation of reports on admissions, enrolment and students’ records.
- Work well with both internal (e.g. schools and departments) and external (e.g. MOE, vendors) stakeholders to ensure planning and operations for various admissions and enrolment exercises are carried out smoothly. Academic operations administration includes updating webpages and managing student & course matters.
- Provide excellent customer service to external and internal stakeholders.
- Support various school/department-driven initiatives and undertake special projects.
- Streamline existing processes in the department to enhance efficiency and productivity through leveraging on AI tools.
- Lead systems/IT related projects bridging the gap between the users and the IT vendors and/or colleagues e.g. for admissions exercises, student administration system.
- Be part of the working committee overseeing the planning of annual Graduation Ceremony. This entails coordination work with vendors and various schools/departments, scheduling of graduation duties and preparation of graduation related reports.
[What we are looking for]
- Preferably with at least 2 years of relevant experience in handling administrative work, project and operations management. Previous experience in Institutes of Higher Learning (IHLs) (i.e. polytechnic or university) would be preferred.
- Experience in managing vendors, procurement processes (e.g. GeBiz) would be an advantage.
- Good project management and people skills in managing internal and external stakeholders.
- Proficient in using Microsoft office tools e.g. MS Excel (using formulae, pivot tables etc) and Access.
- Working experience in data analytics, statistical work and data visualization tools, e.g. power BI and power query would be an advantage.
- Working experience in AI tools would be an advantage.

Successful candidate will be offered a 2-year contract in the first instance.
