The Role This position will provide secretarial support to the Business Unit Head and manage the administrative matters for the assigned department. Job Responsibilities Calendar Management and maintain effective communication with internal and external parties, handle calls and enquiries Schedule meeting and booking of meeting rooms Organize and coordinate meetings and appointments, manage conflicting priorities Manage travel arrangements and itineraries. Submit and monitor of expense claims and disbursements on a timely manner Maintain effective communication with internal and external parties, handle calls and enquiries Prepare business correspondences, documents, reports and presentation materials Generate department purchase requests and purchase orders for ad-hoc purchases In charge of on-boarding and off-boarding matters. Provide administrative support within the department and any other projects as assigned Maintain an organized filing system of paper and electronic documents system of paper and electronic documents. Job Requirements Diploma / GCE ’A’ level / Private Secretarial Certificate. 4 to 6 years of secretarial and / or executive support experience. Trustworthy to handle confidential matters. Meticulous, organised and have good initiative. Proficient in MS Word, PowerPoint and Excel Meticulous, multi-task, team oriented and able to work independently. Proficient at resolving issues and able to adapt to changes in planned workflow Good written and interpersonal skill with courteous disposition.
