Workplace Ambassador (Commercial / Tenancy Based Office)

Integrated Facilities Management – Work Dynamics (APAC/SG)

 

 

Position Overview

 

We are seeking a dynamic Workplace Ambassador to serve as the cornerstone of our workplace experience, ensuring seamless daily operations while embodying Riot's commitment to exceptional service and continuous improvement. This role combines front-of-house excellence with operational leadership, creating an environment where Rioters and visitors thrive.

 

Key Responsibilities

 

Facilities Management & Vendor Oversight

• Support office facilities including both soft and hard services across all Riot Games spaces

• Oversee vendor relationships for housekeeping, meal programs, minor office repairs, and office expansion projects

• Coordinate maintenance schedules and supervise service quality standards

• Support office expansion setup activities and ensure seamless integration of new spaces

• Ensure consistent service delivery and cost optimization across all facilities

 

Operational Support & Coordination

• Partner directly with the Workplace Lead and Experience Ambassador to execute daily site operations

• Coordinate and oversee all repair and maintenance activities to minimize workplace disruption

• Manage work order systems and track completion timelines

• Maintain clear communication channels between vendors, internal teams, and building management

 

Financial Process Management

• Execute comprehensive finance processes under JLL's new Integrated Facilities Management (IFM) scheme

• Utilize Corrigo and Facilities Work Order (FWO) systems for accurate cost tracking and vendor payment processing

• Manage budget allocations, process invoices, and track expenditures

• Ensure compliance with financial approval workflows and audit requirements

 

Workplace Experience & Employee Engagement

• Lead day-to-day execution of workplace experience initiatives across all Riot Games spaces

• Implement employee engagement programs that enhance satisfaction and productivity

• Collect feedback and measure program effectiveness

• Foster connection to company culture through workplace programs

 

Soft Services Delivery

• Address employee concerns promptly and professionally while maintaining high service standards

• Coordinate between various service providers to ensure seamless integration of workplace amenities

• Enhance overall workplace satisfaction and operational efficiency

•Implement efficient systems for receiving, sorting, and distributing mail and packages throughout the office. Maintain accurate delivery logs, handle sensitive correspondence appropriately, and coordinate with security teams for package screening and visitor deliveries.

 

 

Guest & Visitor Experience Management

• Welcome and register all visitors professionally while maintaining security protocols

• Create exceptional experiences that reflect Riot's commitment to excellence and gaming culture

• Address employee queries efficiently and coordinate package deliveries throughout the office • Manage comprehensive visitor registration processes and security compliance

• Foster positive first impressions for all guests and clients

 

International Guest Logistics

• Manage complex logistics for overseas guests including pre-visit communications

• Coordinate access card arrangements and hospitality planning

• Handle travel coordination, accommodation recommendations, and transportation arrangements

• Provide cultural orientation support for international visitors and business partners

• Ensure seamless experiences through comprehensive operational coordination

 

Meeting Room Operations & Technology Support

• Ensure post-meeting reset and maintain high-quality standards for all meeting spaces

• Collaborate with IT teams to resolve technical issues promptly

• Support both routine meetings and high-stakes presentations

 

Inventory Management & Procurement

• Support procurement processes and maintain optimal inventory levels

• Negotiate with suppliers for cost-effective purchasing solutions

• Track usage patterns and implement efficient ordering systems

• Ensure consistent availability of essential workplace supplies

 

Process Improvement

• Drive continuous enhancement of workplace services through data analysis and feedback collection

• Identify operational inefficiencies and propose systematic improvements

• Lead implementation initiatives that enhance employee satisfaction and operational effectiveness

• Develop innovative solutions for workplace challenges

 

Stakeholder Relations & Communication

• Foster positive, collaborative relationships across all organizational levels

Required Qualifications

  • Experience: 2-5 years in office operations, hospitality, or customer service roles, preferably in technology, gaming, or creative industries

  • Technical Skills: Proficiency in workplace management systems, Microsoft Office Suite, scheduling platforms, and basic troubleshooting of meeting room technology

  • Communication: Exceptional verbal and written communication skills with ability to interact professionally with diverse stakeholders at all organizational lev
